When any vacancy of employee occurs in your company what will you do? Obviously, you need to fill the vacancy as soon as possible to run your company perfectly. With a vacancy it will be very hard or impossible in some case to run the company. So, here comes the recruitment process. By recruiting the perfect employee for that vacant position, you can run your company smoothly. This recruitment process is not only for the companies. It is for all types of organizations where employees work. In a formal way, recruiting is a process of identifying the vacancy, attracting the applicant for that position, interviewing them, hiring them and finally enroll them in their work position.
Every company have to go through this recruitment process. The human resource department handles this process. It is a key responsibility of HRM department. Some big companies have separate section for recruitment under HRM department. Some small companies may not have separate section. The Human Resource Manager there plays the role for recruiting new employees. Recruiting is not so easy task. A good HRM department can recruit good person. There are some methods of recruitment and have some steps of recruitment. Also there have some factors that needs to consider during recruitment.
Firstly, we will discuss about some factors of recruitment. There may have some external and internal factors for recruitment. The internal factors are budget constraints, employee separation, production level, sales situation, global expansion plans etc. The external factors maybe are changes in technology, changes in law, unemployment rates, competition etc. Based on these factors the HRM department determines how many employees they need. These factors are different for different organizations. Human resource department analyze these factors and determines the need of employees.
Secondly, we will discuss about some methods of recruitment:
- Direct recruitment method: This recruitment method can be seen in campus recruitment. In this method, companies go to the campus or job fair and start their recruiting. The HRM goes to the educational institutions sometimes. The HRM interact with potential candidates and the candidates who are seeking for the job are explained about job vacancy and the required skills for the job. They take interviews and check the skills of the candidate and recruit them if possible.
- Indirect recruitment method: This recruitment process is mostly done with advertising such as in paper, channel, media, magazine, journal etc. The advertisement provides information about the job requirement, the range of salary offered, the type of job and job location. The candidates who are interested in the job apply for it and share their resume with the organization. Most of the time this happens when HRM finds no suitable person for the vacant post into the organization. Sometimes organization follow this process to hire new talent from outside.
- Third- Party recruitment method: In this type of method, organization take help from a third party which can be an agency. They help the organization to find out potential employee for the company.
Thirdly, we will discuss about recruitment steps. A recruitment follows some steps. Without steps the recruitment process will get more complicated. Some of the best steps of recruitment are:
1.Recruitment planning: It is the first phase of recruitment. The HR department find out the vacancy. They analyze the need of employees where needed. HRM department make a list of responsibilities of the vacant position. Then they find out the requirement for that position.
2.Strategy development: This is one of the most important parts of the recruitment process. In this step the HRM department decides how they recruit the employee. They choose the sources. They can choose the internal source like they can select from their current employees. Again, they can choose external sources like they can hire new candidates. Most of the time the company looks at their current employees and find the perfect one for new position. But when it is not possible, external source is needed. Also, the company find out the method of recruitment in this step. Are they use direct, indirect or 3rd party recruitment method is determined here.
3.Searching: In this step, HRM department confirms about their vacancy and search for candidates. They use some medium to search the candidates. Paper, job websites, magazine helps to attract the candidates. After knowing about the vacancy, candidates start to apply for that position.
4.Screening: After getting the response from the applicant, human resource department starts to make a shortlist from the applicants. Most of the time a big number of applicants applies for the same post. To take interview from then, a shortlist is need to be made. This shortlist is based on the requirement and the skills among the applicants. The HRM department consider some aspects and make this list and take the interviews.
5.Evaluation and control: In this step, company evaluates the new employee. They check the validity and the effectiveness of the recruitment process. The step is essential as organization has to check the cost incurred during recruitment. The cost of recruitment includes the time spent by the management by involving in the recruitment process, the cost of advertisement, selection, consultant fees and also the salary of the new employee is assessed here.
Finally, the main responsible department for the recruitment is HRM department. A good HRM department can analyze the need of employees aligning with the company’s goal. This process seems complicated but a good HRM department can handle this easily and effectively. It is undoubtedly one of the most important responsibilities of the human resource department.
